Privacy Policy

Draft policy prepared for Reputex Systems. Review it, fill in the legal entity details, and have it checked before publishing. Payment gateways (Razorpay, PayU, Cashfree) require these three pages to be live on your domain before they activate your account.
This policy explains what information __LEGAL_NAME__ ("Reputex Systems", "we", "us") collects when you use this website, register for a workshop, or engage us to build a system, and how we handle it. It is written to comply with the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023.
1. What we collect
- Contact details you give us: name, business name, phone/WhatsApp number, email address, city.
- Payment details for workshop seats: processed entirely by our payment gateway. We receive a confirmation and transaction reference, never your card or UPI credentials.
- Business information you share during a workshop or a build (your processes, price lists, team structure) so that we can build your system.
- Usage data such as pages visited and device type, collected through standard server logs and any analytics tool listed in section 5.
2. How we use it
- To send you the workshop joining link, reminders and materials on WhatsApp and email.
- To scope, build, hand over and support the system you asked for.
- To reply to your enquiries and, where you have agreed, to tell you about future workshops and services. You can opt out of marketing at any time by replying STOP or emailing us.
- To comply with tax, accounting and legal obligations (for example, GST invoicing).
3. Systems we build for you
Systems built in the workshop or by our team run on accounts created in your name (WhatsApp Business, database, payment gateway, AI provider). Your customer data stays in those accounts. We access it only while building and during the agreed support period, and only to do the work you asked for.
4. Sharing
We do not sell your personal data. We share it only with service providers needed to run this website and deliver our services (for example our payment gateway, email/WhatsApp delivery providers, video conferencing and hosting), and only to the extent needed. We may disclose information where required by law.
5. Cookies and analytics
This website uses only the cookies strictly needed to work, plus embedded YouTube videos (served in privacy-enhanced mode). If we add an analytics tool, we will name it here: __ANALYTICS_TOOL_OR_NONE__.
6. Retention and security
We keep enquiry and registration records for as long as needed to serve you and to meet legal record-keeping requirements, then delete them. We use reasonable technical and organisational measures to protect your data, including access controls and encrypted connections.
7. Your rights
You may ask us to access, correct or delete the personal data we hold about you, or withdraw consent to marketing, by writing to __EMAIL__. We respond within 30 days. Our Grievance Officer for the purposes of Indian law is __GRIEVANCE_OFFICER_NAME__, reachable at the same email.
8. Changes
We may update this policy. The date at the top tells you when it last changed.
